1. I am unable to log into ORBIT

Please contact the ERA Team and we will happily discuss your circumstances, including the possibility of entering the required data on your behalf.

2. I have logged in to ORBIT as requested in the email but am unable to see the ERA page

ORBIT ERA Profile address: https://res.adelaide.edu.au/era/.  The page may need a moment to load. If the ERA page does not display correctly, for example because you are not using a Windows PC or Internet Explorer (version 7), you may experience viewing difficulties when you attempt to complete tasks in your ‘To do’ list. We recommend using a Windows PC and Internet Explorer version 7. Mozilla Firefox (version 3.6) can also display the ORBIT pages successfully.
3. I am using a Macintosh computer or Safari browser and the ORBIT pages do not display correctly, especially when I go to complete tasks in my ‘To do’ list

ORBIT has primarily been designed to work with Windows PCs and browsers such as Internet Explorer (version 7) and Mozilla Firefox (version 3.6). If you are having difficulty and are using Safari, please check the version of Safari you are using. The ORBIT ERA pages can still display successfully with Safari 4.0.4 (531.21.10). Otherwise try using different web browsers.

We recommend that you use Internet Explorer (version 7) or Mozilla Firefox (version 3.6) and if possible, use a Windows PC when logging into ORBIT.

FoR Coding Publications

1. Why can't I see ALL my Research Outputs in the ‘Update My Research Outputs’ FoR codes page?

Any outputs which already have FoR/s assigned to them will not appear on this list. ‘Update My Research Outputs’ will only show Research Outputs which need to have FoRs and percentages assigned for ERA. ALL your Research Outputs for the 2005-2010 reference period will become visible when you ‘Review My Research Outputs’ – this task will appear on your To Do list once all your publications in ‘Update My Research Outputs’ have been coded.

2. Where FoR codes are yet to be assigned for a journal article, but are appearing as assigned by the ARC, can I change them?

Where a journal article has significant content - greater or equal to 66%, that could best be described by a particular FoR code, you can assign that code to the article, even if the the ARC has not assigned that code to the journal in which the article was published.

3. Can I remove an ARC journal code if it is not relevant to the article?

If a FoR code is not relevant to your article, use the ‘Clear’ button to remove the FoR code from the output.   Apportion the article to the relevant FoR code(s).  Only one non-ARC code can be applied, where the significant content is greater or equal to 66%.

4. Can I assign 0% to a FoR code?

To remove an irrelevant FoR from a Research Output, use the clear button – see Question 3 above.

5. What is the minimum allocation allowed for a FoR code?

FoR code allocations for a Research Output, must be equal or greater than 20%.  Ensure total apportionments equal 100%.

6. What FoR options can I choose if the journal appears as MD Multidisciplinary?

You may allocate up to three 4-digit FoR codes to a research output.

7. My Journal article is in a journal that has been assigned a 2-digit FoR code by the ARC. What options are available for FoR coding this output?

You may assign to the article up to three 4-digit FoR codes falling within the two-digit FoR division identified for that journal.  The reassignment exception also applies – that being, it is possible to assign an alternate FoR code where the significant content is greater or equal to 66%.

8. I have updated FoR codes for my Research Outputs but when checking the page to ‘Review My Research Outputs’ the codes I just entered are not displayed.

Research Output FoR codes are updated via an overnight feed from ORBIT into Research Master. Check ORBIT ‘Review My Research Outputs’ again the following day and your nominated code(s) should be listed.

9. I notice that my Research Output with multiple authors has already been assigned FoR codes. How did this happen?

FoR coding was in place for ERA 2010. Researchers have had the opportunity to assign FoR codes to their research outputs.  One of your co-authors or an ERA Leader may have assisted with the provision of Research Output FoR codes. If you believe changes should to be made to the FoR code allocation, go to ‘Review My Research Outputs'. You can scroll to where there is a 'Make Suggestion' link for each output.

10. Not all of my Research Outputs appear on the ‘Review My Research Outputs’ page.

The ‘Review My Research Outputs’ page shows outputs recorded for you in the period 2005-2010.  It does not list outputs in process. Please email era@adelaide.edu.au with details and evidence, for verification purposes, if any publications are missing.

Esteem Measures

1. Why am I only able to provide information for specific Esteem Measures via ORBIT?

The Esteem Measures you are asked to nominate have been determined by the FoR code(s) you have nominated for your research, and are reported as the ERA Discipline Matrix.   Eligible Esteem Measures are defined by the ARC according to the following list:

-Editor of a Prestigious Work of Reference;
-Fellowship of a Learned Acadamy / Membership of AIATSIS;
-Recipient of a Nationally-Competitive Research Fellowship;
-Membership of a Statutory Committee;
-Recipient of an Australia Council Grant / Fellowship.

There is potential for other recognition factors to be incorporated into the Explanatory Statements.

Reviewing Research Outputs

1. One of my Research Outputs is listed incorrectly on the ‘Review My Research Outputs’ page?

Please send an email outlining the publication details and correction requested to era@adelaide.edu.au. The ERA Team will consider the changes and update the database record as soon as possible.

2. I have too many Research Outputs to be able to check through them on the screen. I need to be able to compare this list with my own detailed reference list.

Use the CSV option (lower left of screen) to download your list of outputs into a spreadsheet. Select the option: ‘Detailed Outputs List - bibliographic detail included’, to ensure that all data fields are displayed in the grid and included in the CSV.

If you find any errors or omissions please notify the ERA team (era@adelaide.edu.au).

3. I have updated my Research Output FoR codes but when checking the page to ‘Review My Research Outputs’ I notice the codes have disappeared.

Changes to Research Output FoR codes are uploaded into Research Master via an overnight feed. If you wish to check your recent output FoR assignments, please log in to ORBIT the following day to verify output FoR codes. (See Question 11, FoR Coding Publications)

4. The details associated with one of my Research Outputs are incorrect. Should I still confirm/acknowledge the publication in the ‘Review My Research Outputs’ page?


Errors or amendments to Research Output data should be emailed to era@adelaide.edu.au.

Once the ERA Team has been notified of an error, you may proceed to confirm/acknowledge the publication in your Review list. Alternatively, select the correct items (check boxes of individual items on LHS) and accept these as correct. Return to this screen at a later date, and you will see that the new/corrected item can be checked and confirmed if the changes have been made in the database. Once a change is made in the database it will not be reflected in ORBIT until the following day.

Eligibility: Researcher FoR Codes

1. I received an email from the ERA Team requesting that I log into ORBIT but I am not really undertaking active research work. Do I still need to assign Fields of Research (FoR) codes for myself?

Yes, if you received an email from the ERA Team then we need you to record your FoR code/s. ERA Guidelines require that all eligible researchers be assigned FoR code/s and you have been identified as an eligible researcher for ERA 2012.
