Travel & Entertainment Review 2012 - 2013
During the second half of 2012, Financial Services have been conducting a review of Travel & Entertainment (T&E Online). This webpage provides an update on the progress of the project.
Changes already in place
Travel Safety - the University recently engaged the services of Customer Care to assist in the management of travel safety. Customer Care provide updates on health and security situations across the globe, email & text advice to travellers and an online tool called "red24 travel tracker" that enables the University to quickly determine the location and contact details of Unviersity staff travelling overseas when booked through the Universitys preferred TMC's.
Discounts on Domestic Airfares - Qantas & Virgin Australias now offer discounts to the University on the majority of their domestic airfares. The discounted fares can be accessed via the Online Travel Booking System or via our TMC's.
Changes effective Wednesday 9th January 2013
EMS Navigation Change - the link to create a travel requisition is now located in the main menu.
EMS Travel Requisition - the International and Domestic travel requisitions are now on one page, so you no longer have to tab over 3 pages. The declarations (which include links to forms and guidelines) have moved to the top of the requisition, so the information can be accessed before completing the requisition.

EMS Enhancements - where possible, links to forms and guidelines have been added. Wording and help text has been simplified.
EMS Automated Emails - the automated emails from the EMS now include a link directly to the log on page and wording has been changed to provide consistency.
Private Travel & FBT - The University has received a ruling from the ATO (Australian Tax Office) about Private Travel and FBT (Fringe Benefits Tax). Guidelines and FAQ's have been developed to assist anyone travelling on behalf of the University considering incorporating private travel as part of their trip. There is also a FBT & Private Travel Calculator to help determine if FBT is applicable.
Travel Diary - The format of the Travel diary has changed slightly to follow the ATO's guidelines of better record keeping. Travellers only need to enter the number of business and private days - refer to the FBT Guidelines for definitions.
Over the next few months
Key areas of focus for the project team will include;
- Improved Online training which can be accessed via I.E. and Firefox
- Automated acquittal of some transaction types
- Improved reporting capabilities for Managers
- Review of existing policies
- Review of the travel booking process
