The University has a staff on boarding process called Hit the Ground Running which has phased out 14 paper based forms.
What is HTGR?
The Hit The Ground Running (HTGR) online form represents a streamlined approach to the on boarding process for new starters (Continuing, Fixed Term, Casual, Title Holders, Visitors).
On boarding means ensuring new staff are correctly employed and are provided with the essential work tools they will require such as a computer and telephone. HTGR should only be used for casual staff who require additional University services listed in 2 and 3 below.
Over 14 forms were redesigned and combined into a single streamlined web form for the purpose of on boarding new staff. The forms integrated into HTGR are:
1. Human Resource Forms
- Appointment Form
- Prospective Employee Commencement (PEC) Form
- Title Form
- Nomination/Application for visiting Academic
2. Technology Services Forms
- Data and Voice Request Form
- Request for University Mobile Phone &/or Port Authority Form to University Account & Transfer of Ownership Form
- NDS Account for Creation
- Phone Directory Amendment Form
- Shared Network Request Form
- Access Request Form
- Visitor Access to IT Form
3. Card Services Forms
- Request for Photo Identification Card
*Please note – many of the Technology Services and Card Services forms continue to also remain in a stand alone form for use by existing staff for non on-boarding purposes, such as “I need access to a new shared network folder”.
The HTGR form was developed by a workgroup of staff containing representatives from all Faculties and Divisions, and involved a ground up redesign to meet customer requirements.
Results to Date
- Over 120 new staff have been employed and provisioned with Essential Services via the HTGR form.
- 88% of new starters received all their essential services by lunch time on their first day when the School/Branch submitted the HTGR form at least 4 working days before the new staff member commenced.
- Existing staff using the HTGR for report saving between 1 and 4 hours per appointment as a result of the new transparent process.
What does this mean for me?
- The HTGR form represents the standard process for on-boarding new staff (Continuing, Fixed Term, Title Holders, Visitors).
- The use of existing paper based forms for on-boarding staff has ceased.
- Human Resources encourages all staff involved in on-boarding new staff to attend training to take advantage of the benefits the HTGR form provides.

Requests to amend or add approvers to HTGR
HTGR currently contains a list of approvers for all essential services. These approvers were nominated by Faculty and Divisional Finance Managers. Any requests to add to or amend this list should be forwarded to the Human Resources Service Centre via the Faculty/Divisional Finance Manager.
