Account Cleanup Guidelines for Staff leaving the University

Staff who will leave the University will be notified that all access to IT services will be disabled.  Prior to leaving the University's employment, exiting staff should undertake a cleanup of their IT accounts. The following is provided as a guide to ensure that relevant and important information stored is not deleted along with IT accounts.

Email cleanup

Before access to email accounts is disabled:

  • Clear your inbox and email folders.
  • Cancel online subscriptions to journals, newsletters, group forums etc.
  • Set an automatic email forward to your supervisor, or someone nominated by your supervisor. (This will be in place for a period of 30 days until the email account is deleted.)
  • Archive or forward official correspondence to your supervisor, or someone nominated by your supervisor.
  • Advise your business contacts that you are leaving and inform them who their new contact will be.

U or V drives cleanup

Electronic files and documents stored on your local machine or in personal home folders should be moved to a shared location. 

  • Move University information to relevant shared folders or TRIM in consultation with your supervisor.
  • Delete personal information and folders.

Access to Payslips

Access to payslips through Employee Services Online will be disabled along with access to other IT services.  Staff will be able to access past payslips prior to their disable date.  Information about any outstanding pay to be included on future payslips will not be available through Employee Services Online.  In this case, staff should contact Human Resources on 8313 1111 or email hrservicecentre@adelaide.edu.au.
