Visitor Access

Visitor Access is used to provide access to University online services, desktop computers, files and printers for people who are not staff or students, but who have a defined relationship with the University.

This includes visiting academics, contractors (professional and trade), researchers and volunteers. 

Visitor access may also be granted to existing staff or students in one business area, but only if the visitor role is with another business area.

Visitor Access Form

The  Visitor Access to IT Services form should be completed in full by a staff member from the business area.   Please refer to the Visitor Access Form Help below for assistance with filling in the form.

This form should also be used for Extensions or Terminations of Visitor Access.

The form must be authorised by the nominated approver before the visitor access request reaches the ITS Helpdesk.  The ITS Helpdesk will notify the person who requested the visitor access when accounts are created.  

Setting your password

After the account is created, visitors should visit Card Services, in the Hughes Plaza, with some form of photo ID to have their password set.

Visitors will be asked to sign the declaration.

Account expiration

Visitor accounts are active for a maximum of 12 months.  Prior to the end date for access, the visitor will receive advice that access to online services will cease.  A new Visitor Access to IT Services form will need to be submitted to extend a visitor's access.

Costs

There are no costs associated with this service.

The School/Area will be responsible for all internet traffic charges incurred by the visitor.

Timelines

Forms must be authorised by the nominated approver before the visitor access request reaches the ITS Helpdesk.  Forms will be processed by ITS within four working days of receipt.

General Information

Previous Staff, Student or Visitor? If the person has had a previous relationship with the University it is important to provide the staff or student number (as recorded in the PeopleSoft Student Administration or HR system) so that the information is recorded against the correct person. If a name change has occurred then this will also need to be included on the form.
End Date There is a maximum of 12 months access to online services allowable for visitors to the University or approved external organisation. Adelaide research and Innovation (ARI) visitors have access provisions in line with their Service Level Agreement with the University.  Prior to the end date for access, the visitor will receive advice that access to online services will cease.  A new Visitor Access to IT Services form will need to be submitted.
Visitor Type
Visiting Academic People who are not paid by the University who require access to online services for lecturing or researching within a particular discipline.
Contractor (professional and trade) People who are not paid by the University who require access to online services to complete project or consulting work or systems maintenance.
Volunteer People who are not paid by the University who require access to online services who are volunteering in any capacity for the University.
Researcher People who are invited to and not paid by the University who require access to online services to participate in specific research activities.
Other People who are not paid by the University and require access to online services for any purpose not defined above. Please specify the type of work they will be doing.
Services Provided
MyUni, Email, Internet access, access to staff computers These services are provided by default. 
NDS Account (Computer, File and Print Services) If the visitor needs access to a desktop computer, network and shared directories, a Shared Network Folder Access Request Form will need to be completed.
Calendar If access to Calendar to book meetings and manage diaries is required, a request for Calendar access will need to be completed.

Privacy Statement

The personal details provided on the form are required to manage the IT accounts created for each visitor during their time at the University. The information will not be used for any other purpose outside the University's own administrative requirements. Date of birth is required to distinguish between two or more people with the same name, and to ensure that access to IT services is allocated correctly.
