Information for Resource Owners and Delegates

When a new resource is created by the Service Desk, a resource 'owner' will be provided with delegate access to the resource account. 

Standard Resources

The default set up for a new resource is that all Exchange users can invite the resource to a meeting. The resource owner and any delegates can modify calendar entries for the resource.

Moderated Resources

On request to the Service Desk, a resource can be set up so that any meeting requests for the resource has to be approved by the resource owner (or delegate). The resource owner is able to maintain who can approve meeting requests via OWA.

Restricted Resources

On request to the Service Desk, a resource can be set up so that only a restricted list of Exchange users can invite the resource to a meeting. Note: With this option, the owner is unable to maintain the list of users and must submit a request to the Service Desk for any changes. 

The following table provides further information about the differences between the 3 resource types. It is recommended that resources are set up as 'Standard' due to the potential maintenance overhead involved with the other options.

Requestor will automatically receive email confirmation of acceptance if the resource is available or declinal if it is not.

Resource booking will be created as 'tentative'.

Request will be sent to the owner's inbox and they will be required to accept/decline.

Requestor will then receive email confirmation of acceptance/declinal.

Not possible - requestor will receive declinal notification advising them that they don't have permission to book the resource.
Resource owner gives other Exchange users delegate access to the resource. Owner can do this to allow other people to update calendar entries for the resource.
A service request will be required for this as the owner is unable to do this.  Owner can do this via OWA to allow other people to update calendar entries for the resource and to book the resource.

Once the resource has been created, the resource owner will need to contact the Service Desk to change the resource type.
