MyUni Instructor Assignment Access

University of Adelaide staff involved with the teaching of courses can receive MyUni instructor access to those courses if approved by the Course Coordinator or Head of Department. This enables instructors to access the course control panel and manage a given MyUni course. Instructors place teaching materials on MyUni and may alter the availability of various MyUni course tools for students.

Procedure

There are 3 methods by which an instructor can be entered into the University systems. SecurityNote: An instructor in a MyUni course has the potential to do damage and to inappropriately use data (remember that they have access to the grade book as well as the course material), so care must be taken to ensure that the requests for instructor assignments originate from a "trusted" source. Hence the access in the first two options below is restricted to Admin staff who already have PeopleSoft access and other staff as nominated by the Head of Department. Other requests by email or over the phone will need to be authorised and this may delay the turn-around time for that request.

1. *Direct entry into PeopleSoft*
Instructor assignments to or removals from a course should be performed by the Faculty PeopleSoft user in the first instance. An instructor assignment can be added directly into the PeopleSoft Instructor Assignment panels. This option is only available to Admin staff who currently use PeopleSoft and are familiar with the courses offered in their area. To get access to these panels, the staff member will need to undertake a 1 hour training course entitled "Adding Instructors to MyUni".

2. *Using a web-form*
This is for use by senior academic staff and admin staff who have the permission of the head of department to submit requests to add instructors. The staff do not need PeopleSoft knowledge but do need to know the MyUni course codes of the courses to which instructors are to be added, as well as the staff ID's of the users to receive Instructor access. To get access to the Instructor Assignment/Removal Web Form, the head of department can email the MyUni helpdesk at myuni.help@adelaide.edu.au with the details of staff to be given access. Training in the use of the web form is not necessary. The Instructor Assignment/Removal Web Form is available here.

3. *Contacting the Online Education Helpdesk*
If none of the staff members in your area are able to request MyUni instructor assignments as described in 1 or 2 above, staff can contact the Online Education Helpdesk via email or phone +61 8 8303 3335. Please note that this will result in a longer turn-around time (compared to 1 or 2), as extra information may be required for security and validation. To avoid unnecessary delays when requesting Instructor assignments through the Online Education Helpdesk, please provide the following information:

  • MyUni Course ID and course title.
  • Staff ID of person making the request (verifies authenticity of the request)
  • Staff ID and full name of the Instructor to be added.

Costs

There are typically no costs associated with this service.

Timelines

Instructor assignment data is fed from PeopleSoft to MyUni overnight. If an instructor assignment request is made via the faculty PeopleSoft user, MyUni access to the course should be available the day after the instructor is added. The turn around time for requests made via the web form is 3-4 days. Requests made to the Online Education Helpdesk experience longer turn-around times, due to delays associated with security and validation.

Policies

All students and staff are responsible for complying with University policy including Copyright, Spam and Acceptable Use: Compliance, Copyright and University Policy.
