Your Email Quota

Email is delivered to your mailbox on a central mail server. There is limited space for each user so eventually your mail box will become full if you do not manage your email.
If your mailbox becomes full people who send you email will receive an automated response informing them that your mailbox is full and you won't be able to receive any more email.

You should frequently check the size of your Mailbox and delete messages to keep it well below your quota

Your Mailbox Quota

At the top of your Inbox, there is an accurate measure of how much space you have left in your mailbox:
e.g.  Quota: 40379K / 50000K  (80.76%)

In this example, the mailbox has 40.379Mb of email with a quota of 50Mb ie 80.76% of the available space has been used.  You should try to keep your mailbox less than 80% full.

Managing the Size of Your Mailbox

One of the best ways to reduce the size of your mailbox is to copy messages which contain attachments to a removable storage device such as a USB or local hard disk drive and then delete the email (and Empty Trash). Please read the section on saving attachments for advice on how to do this.

Tips for Managing Your Email Quota

  • Your Mailbox consists of several folders: Inbox, Sent Items, Spam, Trash etc. All messages in these folders count against your email quota. You must ensure that you frequently delete messages from all these folders.
  • You can sort your Mailbox 'Open Folder' eg Inbox, Sent Items, Trash by size. Click on the column heading 'Size.'  You can then see which messages should be considered for being moved or deleted because of their size.  It's best to sort your Inbox by Date afterwards.
  • Read how to configure your Mailbox correctly so that your Trash folder is emptied regularly.
  • Remember email that you send is stored in your Sent Items folder. Messages should also be deleted from here.
