File Storage and Access

* This information applies to users with access to the University's network using desktops with the Novell Netware Client installed.

As a University staff member, there are a number of locations where your work data (such as documents and other files) may be stored; depending upon whom else you wish to share it with.

Procedure - User Data

Several locations have been assigned to store your personal documents and data, as well as personal program settings. These are

  • Your 'Home Directory'; a reliable location where you can store your files and data. Your Home Directory is usually accessible from machine within your faculty. It is accessible within Windows as either U: (pronounced 'U-drive') or V:, depending upon your desktop's configuration.
  • Local Data stored on the hard disk of the machine you are using. There will be a partition of your hard disk, labelled 'D:',that has been assigned to store your local data. This space is particularly useful for large temporary or static files that do not require backing-up.
    NOTE: Local data is not accessible from any machine other than the one you are saving it on, and is not backed up by ITS

Procedure - Shared Data (Typically J:)

A 'shared' network resource may have been arranged by your faculty to allow exchange of work data files (such as documents) between staff members. This data is stored within a "shared" folder on your default Netware server. Examples of this include:

\Dornwell\Main\Shared\Media
\Bezique\Main\Shared\History

You should have on your computer a J: which points to the relevant shared folder you have been assigned. If you have access to more than one shared folder other drives may be mapped as well.

Policies

Backup
Shared folders and home directories are backed up from the network server on a nightly basis. The policy on server backup can be found here.

Content
User data must be work related, due to the high cost of data storage. As a result, the storage of non work-related music and video onto the network servers is prohibited.

Archiving
It is recommended that you regularly archive old data to a media such as a CD, ZIP drive or Memory Stick.

It is not the responsibility of ITS to archive your data for you or to supply you with the media to do so. If you require advice on how to archive data, please contact the ITS Helpdesk.
