EndNote quick guide
EndNote lets you store and manage your own citations (references). You can have the software on a work computer and a personal computer until you leave the University.

Basics
- Opening a reference - note the use of fields (author, title, etc) and reference type (book, journal, etc).
- Sorting the screen display - click headers or use References> Sort References.
- Choosing fields for the screen display - Edit> Preferences> Display

- Searching your EndNote library - References> Search References. To restore the full library, choose References > Show All.
Inserting citations and Formatting a bibliography - 4.1
While writing your article or thesis in Word, you can insert citations from your EndNote library. Later, you can format the inserted citations and create a bibliography in a citation style of your choice.
- Open your Word document (e.g. Paleo.doc) and your EndNote library (e.g. Paleo.enl).
- Turn off Instant formatting. Instant formatting turns temporary citations to final citations as you write but can cause problems.
To turn it off for new documents, in Word go to Tools> EndNote> Cite While You Write Preferences and uncheck Enable Instant Formatting on new Word documents.
To turn it off on an existing Word document, unformat the document - Tools> EndNote> Unformat citations.
- Insert citations in the text of your Word document as you write.
In your EndNote library (e.g. Paleo.enl), highlight the citation you want to insert.
In the Word document (e.g. Paleo.doc), put the cursor where you want to insert a citation.
Choose Tools>EndNote>Insert Selected Citation.
The inserted citation will have this temporary form: [Gardiner, 1988 #84]
- Format the inserted citations and the bibliography in a style of your choice.
Do this when you have finished writing your document.
In the Word document, choose Tools> EndNote> Format bibliography.
Browse to the output style of your choice and OK.
[If you get an intermediate insert screen, click Insert.]
- Before submitting to a publisher, remove hidden field codes from the formatted copy you send to the publisher. Open the submission copy and choose Tools> EndNote> Remove field codes. Don't remove field codes from formatted copies you're keeping.
Note:
- In EndNote, use Edit> Output styles> Open Style Manager and change from Style Info to Style Preview to look at the appearance of styles.
- Move only unformatted documents between computers.
- You can unformat or reformat in a different style at any time.
- You can edit citations in the text of unformatted Word documents e.g. add page numbers. These changes will not be lost if you reformat.
- You can edit the bibliography in your formatted paper, but changes will be lost if you reformat.
- If journal titles do not appear in the way you want (i.e. abbreviated or in full), you may need to edit your journal term lists.
Importing references from database searches - 3.1
Search subject databases to find articles on a topic. Search results can be imported into EndNote.
- Save the search results as a text file.
In the database you are searching, save (download) the search results as a text file (e.g. result.txt) using database settings that suit EndNote - see instructions for each database on the Library's import filters page.
- Import the text file into a temporary EndNote library using the appropriate database filter.
In EndNote, create a new temporary library through File> New. Call the library something like Temp.
Choose File> Import.
At Import Data file, choose your saved .txt file.
At Import option, choose the database's import filter. If the filter isn't on the list, choose Other filters and browse to find it.
An import filter helps EndNote to import your saved search result file correctly. Some filters are already in EndNote's Filters directory. You can get others through the Library's import filters page.
- Check and edit the imported references, especially non-journal references.
Compare the saved text file in Word and your new temporary EndNote library.
Check that all references were imported.
Check that references have the right reference type (book, journal article, etc).
Check data were imported to the right fields.
- Copy the imported references from Temp to your main EndNote library.
Find duplicates through the References menu and delete as necessary. Take care not to delete any duplicate that your Word document links to: use the EndNote record number (e.g. #23) as a guide.
Some databases have a simpler direct export option which opens EndNote and transfers references automatically to an EndNote Library of your choice. Check a database's Help for instructions.
Adding new references manually - 2.1
You can create references by typing directly or cutting and pasting text into a new reference.
- With your EndNote libary open, choose References> New.
- Select the appropriate Reference Type (Journal Article, Book etc)
- Enter details in each field following EndNote's rules. To avoid later problems, look at the full rules in Library tutorial unit 2.1. Examples are:
One author per line. Author's last name first. Initials separated by full stop or space. Comma at end of an institutional author.
Title in plain text except for some special cases.
No full stop at the end of the title. No punctuation for city, publisher etc.
No 'pp' after page numbers. No brackets around year. No 'ed' after 2nd etc.
- Close the reference. It is saved automatically.
Linking from EndNote records to articles
Remember
- Keep backup copies of your unformatted Word document, your formatted Word document and your EndNote library.
- Keep all your references in a single database, not in different databases for different topics.
- You can open an EndNote 7 library in EndNote 9 or X but you cannot open an EndNote 9 or X library in EndNote 7.
