Archiving a MyUni Course


Objective: Create an archive of a MyUni course


Background Information:

A course is created in MyUni every year for each course offered at the University. MyUni currently holds course material from 2003-present. The MyUni course retention policy is to keep course material online, available to student's and staff for a minimum of 3 years (to provide access for the duration of a students program of study). The MyUni environment has been through substantial upgrades over the years and a regular archiving process is now needed to ensure reliable performance and minimise the risk to future upgrades.

According to the current University Records Disposal schedules, course material needs to be kept for 3 years and individual work by students for 1 year. See http://www.adelaide.edu.au/policies/16/

Courses from 2003 will be removed from MyUni on Monday, December 10 2007. A list of the courses is available for review. If you wish to retain any courses on MyUni your Head of School will need to email helpdesk@adelaide.edu.au with the list of MyUni course ID's before Friday December 7th.

The MyUni course archiving tool allows instructors in a course to create a zip file which contains all content and user activity related to their course. This file can be saved to a home or shared drive on the instructors pc. This zip file can be imported into a compatible learning system in the future if the content is to be reused. You will need to contact the helpdesk for MyUni to import a course archive in the future.

MyUni also has an export tool which differs from the archiving tool in that it only stores course content and does not store any user activity or information.

We recommend that instructors archive their course(s) prior to Friday December 7 if they wish to keep a copy of course content or user activity from 2003.

Requirements:

  1. You must be an instructor in the course you wish to archive.
  2. We recommend that you archive your course on campus to avoid length download times.

Archiving Procedure:

Creating a course archive can take between five minutes and an hour if the course has a lot of content. The process is asynchronous and an e-mail will be sent to all instructors in the course when the archive package file has been created within the course. 

  1. Login to MyUni and navigate to the course you intend to archive
  2. Go into the Control Panel and click on "Archive Course"

  3. If you have already created a course archive you may need to click “Archive” again from the “Export/Archive Manager” page.
  4. Click Submit.
  5. You should receive the following message on the screen: " This action has been successfully queued. An email will be sent when the process is complete". If you do not see this message please log the problem with the helpdesk for MyUni (helpdesk@adelaide.edu.au).
  6. When you receive the e-mail saying that the archive has been created right click on the link that is presented, and select "Save Target As" or similar.
  7. Select a location where you would like the file saved.
  8. Logout

Notes and considerations

  •  The course archive process produces a zip file. The zip file can be re-imported into MyUni or a compatible Learning Management System at a later date, although this cannot be guaranteed. It is important not to modify the content of the zip file or it will not be possible to import the content.
  • If your course is restored from an archive, the course menu may appear in a different order than the original, and some buttons may be added. This should not cause any other impact. Any "Course Links" will either be removed or will not function.
  • There may be issues with attribution of user data.
