Business Intelligence

Overview

Business Intelligence or BI is a broad category of applications and technologies for gathering, storing, analysing and providing access to data to help enterprise users make better business decisions. At the university BI is part of Planning and Performance Reporting's portfolio and the capabilities developed will be used to support Performance Reporting and the Institutional Planning and Performance Framework.

Business Intelligence is delivered via both the Oracle BI Discoverer tool and the Cognos Business Intelligence platform. Oracle's BI Discoverer is the university's "self service" ad-hoc querying tool that empowers data savy business users to gain immediate access to information. Cognos Business Intelligence is the University's strategic platform for BI and will be used to deliver all new capabilties moving forward. It is an integrated platform that provides tools for:

  • Ad-hoc Querying and Analysis
  • Online/Prompted reporting
  • Pixel Perfect Reporting and Briefing Books
  • Dashboards/Scorecards/Metrics
  • Planning, Budgeting and Forecasting

Both these environments draw on integrated data sets from the university's data warehouse.

BI Discoverer

BI Discoverer provides access to the following areas in the data warehouse: Student Profiling, DEEWR data and the results of the Australian Graduate Survey (CEQ/GDS).

University Staff Access Only

BI Discoverer is only available to current University of Adelaide staff who have completed Discoverer Data Warehouse training. This course, comprised of two half-day sessions, can be booked through the University Course Booking System.

Although anyone who completes the training will be granted access, managers and supervisors should carefully consider which staff in their area are suitable. Staff chosen to attend training should have a good understanding of the business processes that collect data in PeopleSoft systems and be familiar with database concepts. Additionally business units are encouraged to implement the "power user" concept where only one or two appropriately skilled individuals become experts extracting information on behalf of the area.

To create/view/modify your own reports connect to Discoverer below:

  • Launch Discoverer via the Start Menu > Oracle Discoverer 10.1.2 v003


Discoverer User Reports

The BI team, with valuable direction from the user community, has developed a series of generic investigations that are focussed on the various processes run throughout the University. These reports will aid the University in accessing a single source of data revolving around a particular process - for example: tracking student enrolments. Users are encouraged to save the shared workbooks for their own use and refine the investigations to suit their specific purposes.

The workbooks are available to BI Discoverer users who have attended the appropriate course and have appropriate user access. Access is available to those who have attended and completed the BI Discoverer training provided by the University. They use the latest available information from the data warehouse while also offering the ability to analyse underlying data, amend presentation formats and export to other desktop tools.

    This workbook attempts to provide those connected with the challenging task of timetabling some flexibility in analysing course combination pathways. Ideally, inclusion of timetabling metrics direct from the source system into the warehouse would provide the most effective access, but some improvements can be delivered through the examination of student enrolment information, and that is what is presented here. Note these sheets are very similar, as the first restricts the investigation to pathway for a specific academic plan; the second allows analysis of pathways for all plans related to the selected courses.

Cognos BI

Cognos BI is user licensed and therefore only available to staff who require access to one of the following areas as part of their core job function:

  • Student Load Performance Reporting (actuals, targets and projections)
  • LMM - Load Management Model (program, teaching and funding targets)
  • Program Performance Reporting (consolidated KPI's for each program)
  • Course Review templates
  • Payroll and Commitments Reporting
  • SMM - Salary Management Model (budget and forecast)

BI University Reports

The following reports have been compiled to provide access to information required regularly by university management and decision-makers. They use the latest available information while also offering the ability to analyse underlying data, amend presentation formats and export to other desktop tools.

University Staff Access Only

User Support for Census Products not in Discoverer or Pivot Tables

A significant amount of information can be found in Excel pivot tables on the statistics pages. This information is updated on a timely basis.

Assistance

Each data subject area has a designated PPR staff member who can provide assistance when your requirement cannot be met by the Excel pivot tables. For details see the Help & Contacts tab.

Help & Contacts

  • Cognos BI: Exporting to Excel PDF
    1. Open the Internet explorer Browser
    2. Click Tools
    3. Click Internet Options (the following box will appear)

    4. Go to the Security Tab (the tabs are at the top of the box), the following box will appear

    5. Click Custom Level
    6. Under Settings look for Automatic Prompting for File Downloads
      a) Check the Enable Circle
      b) See the following box

    7. Click OK
    8. Click Apply
    9. Click OK

    Note: If you still cannot export to Excel check and make sure that you do not have any additional toolbars installed or pop-up blocker's enabled.

    To uninstall toolbars

    1. Open your Internet Explorer browser
    2. Go to View>Toolbars
    3. Uncheck inappropriate toolbars
      a. The only necessary toolbars are Menu, Status bar,  and Adobe PDF
      b. Uncheck (Google, Yahoo, and others like these)
    4. Uninstall toolbars (only if you had any to uncheck)
    5. Go to Start > Control Panel
    6. Click Add or Remove Programs
    7. Search for the toolbar that you want to uninstall and Click on them
    8. Click Remove
    9. Close out when finished

    To turn off pop-up blocker

    1. Open your Internet Explorer browser
    2. Go to Tools>Pop-up Blocker>Turn Off Pop-up Blocker
  • Trouble logging into BI Discoverer (Java Issue)

    In order to run Discoverer, please ensure the following setting is turned on in the Java Control Panel by following these simple steps or download the PDF user guide.

    After connecting to 'Production Warehouse' this is where the Java Security setting error occurs as shown in the diagram below or a red cross withinn a new window

    Please go through the following steps:

    1. Close existing Internet Explorer (Recomended browser)
    2. Select Start > Control Panel > Java (not Java Plug-in) - If you do not have Java in your 'Control Panel' please place a call to ITS on ext. 33000.
    3. Select the Advanced tab > drop down Security > General as seen the screen above.
    4. You will see the following screen

    1. Select the checkbox titled 'Use SSL 2.0 compatible ClientHello format' to activate it.
    2. Log back into Discoverer as well as the 'Connect to OracleBI Discoverer' page and log back into 'Production Warhouse'
    3. If a security message appears press yes to 'Run'

    If you are having further difficulty running Discoverer, then please call ITS on ext. 33000

    • Follow the steps in the attachment to turn on a Java setting. If you still have problems then:
      • Phone or email the ITS help desk and check that you have been added to a Vista group called GPO_OracleDiscoverer1012. You will need to re-boot your PC after you have been added to this group.
      • Direct ITS to uninstall and re-install Java via remote logging as specified by Business Intelligence, Planning and Performance Reporting
    • If you are still having difficulty, you can call BI Team on ext. 35588.
