SCHEDULE TO THE MODIFIED ARRANGEMENTS FOR COURSEWORK ASSESSMENT POLICY

Programs exempted from the operation of clause 4.2 (Additional Assessment) of the Policy:

Bachelor of Medicine and Bachelor of Surgery, Faculty of Health Sciences

Approval expires 31 December 2012.]


MODIFIED ARRANGEMENTS FOR ASSESSMENT: PROCEDURES

1. ASSESSMENT TASK EXTENSION (including deferral of tasks in-semester)

Important note: For assignments comprising 20% or less of the total assessment scheme, Course Coordinators may vary the strict application of the processes specified in this policy, provided it is to the advantage of the student, variations are applied consistently and the nature and conditions of the modified arrangement are documented (including by exchange of emails).

Medical: Where a student's capacity to demonstrate their true level of competence in an assessment task was, is or will be seriously impaired by medical circumstances, i.e. serious, personal medical issues
Examples include illness, injury or hospitalisation.

Complete an Application for Assessment Task Extension or Replacement Examination due to Medical or Compassionate Circumstances form or an Application for Assessment Task Extension or Replacement Examination due to Extenuating Circumstances form

and submit to the relevant Designated Officer

At least 5 business days before the published submission date or, if the medical condition arises after this date, within 5 business days of the condition arising.

Declaration completed by a registered medical professional (who is independent** of the student)

i. A revised submission date for an assessment task, or

ii. an alternative date for an in-semester test, or

iii. an alternative assessment task in place of the original assessment task, on a date or with a due date as specified by the designated officer

provided this is practicable under Principle 1 of the Policy*

If the assessment task is worth less than 20%, the final grade may be determined by averaging the student's work to date over the whole year.

If the circumstances are exceptional (see Policy clause 3.1.d), the student may be permitted an alternative assessment task, or to withdraw without failure, or may be given an extended, specified period of time to complete the assessment with an interim Result Pending grade, provided other students are not disadvantaged by any such arrangement.

Within 5 days of receipt of application.

Student must be notified via University email account.

Compassionate: Where a student's capacity to demonstrate their true level of competence in an assessment task was, is or will be seriously impaired by compassionate circumstances, i.e. serious suffering or misfortune outside the student's immediate control

Examples include bereavement, family breakdown, loss of income or employment, significant disruption to domestic arrangements, victim of crime, unplanned responsibilities associated with the student's role as a carer, significant accidents or natural disasters

At least 5 business days before the published submission date or, if the compassionate condition arises after this date, within 5 business days of the condition arising.

Appropriate official written evidence (e.g. death certificate of an immediate family member); or written evidence from Education and Welfare Officer, or Student Counsellor, or Disability Advisor or other professional person qualified to assess the application (who is independent** of the student).

Extenuating circumstances: Where a student's capacity to demonstrate their true level of competence in an assessment task was, is or will be seriously impaired by extenuating circumstances, limited to the following:

i. Religious obligations. Examples include being unable to carry out an assessment task scheduled on a religious day of observance.

ii. Legal commitments. Examples include jury duty or being required to attend a court or tribunal.

iii. Military service. Examples include service in the Army Reserve

iv. Recognised emergency management service. Examples include Country Fire Service or State Emergency Services service in an official emergency situation

v. Representing the University, State or nation at a significant sporting or cultural event

vi. Participation in a sporting event, provided the student is an approved elite athlete

No later than 5 business days after the conflict is identified (usually when the assignment and submission date is set)

i. Written evidence from religious leader

ii. Legal document showing legal obligations

iii. Written evidence from Military officer

iv. Written evidence from officer of recognised emergency service

v. Written evidence from senior representative of sporting / cultural organisation, or written evidence of elite athlete event

* Examples of when an extension may not be practicable include: in courses which are taught intensively and assessment is tightly integrated into teaching; where the nature of the assessment task precludes the granting of additional time to complete it (e.g. a problem set where the answers have been released); where the assessment involves a field trip, a clinical placement, or a group activity such as a music performance ensemble, which cannot be readily approximated or replicated. Assessment tasks which are not suitable for extensions are identified in the Course Profile.

** An independent person means a person who is not a close relative (i.e. partner, spouse, child, sibling, parent, grandparent, uncle or aunt) or close associate (i.e. friend, extended family member, neighbour, or partner of child or colleague), and who is not involved in the assessment processes of the School within which the modified arrangements are being sought (e.g. a doctor at Adelaide Unicare who also works in the Medical School and is treating and providing a medical declaration for a medical student).

2. REPLACEMENT EXAMINATION: MEDICAL OR COMPASSIONATE GROUNDS

Medical: Where a student's capacity to demonstrate their true level of competence in an examination was, is or will be seriously impaired by medical circumstances, i.e. serious, personal medical issues

Examples include illness or injury, hospitalisation, treatment programs, or exacerbation of an existing medical condition or disability

Complete an Application for Assessment Task Extension or Replacement Examination due to Medical or Compassionate Circumstances form and submit to the relevant Designated Officer

Declaration completed by a registered medical professional (who is independent* of student).

Declaration must be an original or certified copy.

If medical condition arises before the examination:
At least 5 business days before the examination date, or, if the medical condition arises five days or less before the examination date, within 5 business days of the condition arising.

Replacement examination at time and venue nominated by University, usually within the Additional Examination period specified as part of the Academic Year.
Mark determined in accord with normal grading system.

Within 5 days of receipt of application.

Student must be notified via University email account.

If medical condition arises during the examination:
Not later than 5 business days after the examination

Not available if mark for original examination is a High Distinction or a Non-graded Pass

As above.

BUT original examination is marked; and mark for Replacement Examination overrides mark for original examination, whether it is higher or lower.

Evidence must provide details of the nature of the circumstance and its impact on the student's capacity to demonstrate their true level of competence in the assessment task.

If compassionate circumstances arise before the examination:
At least 5 business days before the examination date, or, if the circumstance arises five days or less before the examination date, within 5 business days of the circumstance arising.

For all the above, if a suitable date or location cannot be negotiated by the Examinations Office, alternative assessment arrangements must be negotiated between the student and the relevant School, assisted by the Examinations Office.

* If an alternative time/date is set, Student Declaration required, stating that student has not received any information about the content of the examination paper.

Student has a Scheduling Conflict:

Timetable clashes between exams for two University of Adelaide courses

Complete an Application for Assessment Task Extension or Replacement Examination due to Extenuating Circumstances form and submit to the Designated Officer

Student has received a Fail grade with an underlying mark of 45-49% for a course, and

i. has met specified attendance requirements, and

ii. has completed (not necessarily passed) all specified, mandated assessment tasks, and

iii. the final assessment task is weighted at more than 20% of the total course assessment


No action from student.

If student eligible, student will be offered Additional Assessment by Faculty Assessment Review Committee, provided the relevant course assessment tasks can be offered in accord with Principle 1 of the Policy.

An Additional Assessment task which will give the student a second chance to demonstrate that they have achieved the course learning outcomes.

The task may cover learning outcomes of the whole course or, where the student has passed some components of the total course assessment scheme, the learning outcomes tested by a particular assessment task or tasks.

Final result restricted to 50 Pass or Non-Graded Pass or Fail; and will be the higher of the original mark or the mark following the Additional Assessment.

Within 5 days of Assessment Review Committee decision

Student must be notified via University email account.

Last Course Additional Assessment:
Student has received a Fail grade for a course which is the last course required to complete the student's program, and the student

i. has met specified attendance requirements, and

ii. has completed (not necessarily passed) all specified, mandated assessment tasks, and

iii. the final assessment task is weighted at more than 20% of the total course assessment

Complete an Application for Last Course: Additional Assessment form and submit to the Designated Officer

Within 5 business days of release of results.

Subject to Principle 1 of the Policy, an Additional Assessment task will be set, which is not necessarily an examination but a task which will give the student a second chance to demonstrate that they have achieved the course learning outcomes.

Final result restricted to 50 Pass or Non-Graded Pass or Fail; and will be the higher of the original grade or the grade following the Additional Assessment.

Within 5 business days of receipt of application.

Student must be notified via University email account.

5. DEFERRED MODIFIED ARRANGEMENTS

Serious medical or compassionate circumstances arise after a student is granted a modified arrangement for assessment

Complete an Application for Assessment Task Extension or Replacement Examination due to Medical or Compassionate Circumstances form and submit to the relevant Designated Officer

At least 5 business days before the date of the modified arrangement or, if the circumstances arise after this date, within 5 business days of the circumstances arising.

As per 1. Assessment Task Extension or 2. Replacement Examination: Medical or Compassionate Circumstances, above.

A further Assessment Task Extension date or Replacement Examination date, provided the assessment task can be completed within the time at which a Result Pending grade is automatically converted to a Fail grade unless a final grade is entered.

If the assessment task is worth 20% or less, the final grade may be determined by averaging the student's work to date over the whole year.

If the circumstances are exceptional (see Policy clause 3.1.d), the student may be permitted an alternative assessment task, or to withdraw without failure, or may be given an extended, specified period of time to complete the assessment with an interim Result Pending grade, provided other students are not disadvantaged by any such arrangement.

Extenuating circumstances (see under 1. above) cause a conflict with modified arrangement for assessment granted under 1, 3 or 4 above)

Immediately it becomes relevant
