Welcome to the Graduations Office

The Graduations Office is responsible for the planning and implementation of graduation events, the maintenance of graduation records in the Student Administration System and the management of student records and files with particular attention to student transcripts. The Graduations Office works closely with fellow staff in Student Administrative Services, the faculties and schools, the University Contact Centre and senior management of the University.

Our key responsibilities include:

Planning the schedule and timelines for the graduation events

In consultation with the faculties and schools, the Graduations Office develops appropriate schedules and timelines for all graduation events, allowing the academic areas sufficient time to complete all students who have applied to graduate. This planning process takes into account the needs of the academic areas, as well as the need for students to complete all outstanding requirements in order to become eligible to graduate. The proposed schedule and timelines must then be approved by the Vice-Chancellor before they can be published.

Conducting the graduation ceremonies

The Graduations Office conducts the graduation ceremonies in Adelaide and Singapore.

Coordinating the graduations website

The Graduations website provides graduation information for students and staff, providing all the steps in the process, including gown hire, photography and tickets. The website is updated for each event and students are referred to it as the principal source of information about graduations.

The Graduations Office also ensures that the data delivered from Access Adelaide is managed to ensure quality and accuracy.

Management of graduation records and verification of academic qualifications

The Graduations Office maintains all records of students who have graduated from the University of Adelaide. These records exist from the first cohort of students to graduate until the present day and must be stored in perpetuity. These records kept on behalf of the University allow verification of the academic qualification of any graduate.

Management of graduation student records, and production of academic transcripts, replacement parchments and re-issue parchments

The Graduations Office ensures that the data regarding completion of a student’s academic qualification is of the highest quality. The majority of academic transcripts, current or archival, are produced by the Graduations Office and sent to applicants at their request. At a graduate’s request, the Graduations Office also issues replacement parchments if the original has been lost, damaged or destroyed and re-issues parchments under another name.

Graduations Volunteers

The graduation ceremonies are major public events for the University and attended by up to 1,000 people per ceremony. It is important that the ceremonies run smoothly and, more importantly, that guests are comfortable and can enjoy the graduation ceremonies. However, it is beyond the capacity of the Graduations Office and other units in Student Administrative Services to provide sufficient staff to undertake all the responsibilities involved in the conduct of the ceremonies.

Faculty/ School staff have traditionally undertaken responsibilities for the ceremonies at which their awards are being presented. However, some faculties and schools may not be able to provide sufficient staff members to help out in the ceremonies. Consequently, we would like to encourage staff from non-academic areas (e.g. from Human Resources, ITS, and Property Services) to participate in the ceremonies.

If you are interested to volunteer for graduation ceremonies, please complete the Graduation Volunteers Registration Form.

 University Medals

 University Medals are awarded annually for outstanding academic performance to students who have completed a University of Adelaide undergraduate Honours degree, degree of Bachelor with Honours, or degree of Bachelor of at least four years' duration.

The medals are presented to successful nominees at the University's graduation ceremonies. The Graduations Office manages the process for awarding University Medals. Details of this process are available for professional and academic staff members of the University at the following link:
