Constructing a Flexible Work Proposal

A flexible work proposal is a plan which details how and why the proposed flexible work arrangement will work. Constructing a flexible work proposal assists staff to clarify their needs and to consider how these needs might be accommodated to the mutual benefit of the work unit. Significant information to be considered in the flexible work proposal includes:

  • an outline of your current position including your role, responsibilities and time schedule
  • the proposed flexible work option and your reasons for seeking a change to your current work pattern
  • a description of how your current work commitments can continue to be met under the proposal (eg. reduced hours or days may mean a reallocation of tasks and revised duty statement)
  • who may be affected by the proposed change and suggest possible solutions to concerns
  • a communication plan for maintaining contact between the staff member, Manager, and other staff members when you are not at work (eg. the use of email or a communication book)
  • a time frame for the arrangement
  • the benefits of the proposed arrangement to you and the work unit
  • an alternative proposal if your preferred course of action cannot be accommodated
  • a date for reviewing the arrangement with your Manager, including the possibility of renegotiating the original arrangement.

Meeting with your Manager

When you are ready to present your proposal make an appointment to discuss it with your Manager, preferably face-to-face. If possible, provide a copy of your proposal to the Manager prior to the meeting.

Finalising the Flexible Work Agreement

  • Flexible work arrangements must be actioned through Human Resources, and the Manager should consult Human Resources before a final agreement is reached.
  • Human Resources will notify the staff member following a memo received by the Manager.
  • The staff member and Manager are to review the arrangement regularly and adjust as required.
