English Language Centre Refund Conditions

Academic English Programs

Please note that the University’s refund policy for International Students does not apply to students enrolled into the English Language Centre’s Academic English ELICOS programs (PEP, GEAP Pathway and GEAP).

In the case of a refund application for PEP, GEAP Pathway or GEAP programs, please refer to the information below.

As there are nine 5 - week Academic English teaching sessions per calendar year, the refund conditions for the English Language Centre (ELC) Academic English programs are administered in 5 - week sessions.

  • Withdrawal before Census Date

    The table below sets out the ELC's conditions on refunds of fees paid for Academic English sessions where a student withdraws before the Census Date, other than Special Circumstances.

      Circumstances Refund Payable
    A Student's visa application is denied by the Department of Home Affairs and the student presents certified evidence of the refusal to the ELC. Full refund of all tuition fees and Overseas Student Health Cover paid.
    B Student's visa application is delayed by circumstances beyond the student's control and is not ready in time for the student to begin the program for which they applied; and the student presents independent documentation or evidence of the delay (this circumstance does not cover a visa delay caused by the student's own action or inaction). Full refund of all tuition fees and Overseas Student Health Cover paid.
    C Student withdraws after accepting their ELC Academic English Offer of Admission but before enrolment. Full refund of all tuition fees paid less 10% of the total program tuition fee.
    D ELC withdraws offer of enrolment after student has accepted offer based on incorrect and/or incomplete information provided by the student. Full refund of all tuition fees paid less 10% of the total program tuition fee.
    E The ELC is unable to provide in full the Academic English program offered at any time on or after the agreed starting date. Full refund of all tuition fees paid.
  • Withdrawal after Census Date

    The table below sets out the ELC's conditions on refunds of fees paid for Academic English sessions where a student withdraws after the Census Date, other than Special Circumstances.

      Circumstances Refund Payable
    F Student arrives after the Last Date to Enrol in their Academic English program for which an offer was made, and therefore the ELC refuses enrolment. Full refund of all tuition fees paid less 10% of the total program tuition fee.
    G Student withdraws from their ELC Academic English program after Census Date. ELC will retain all the tuition fees paid for any 5-week session once Census Date has passed. The student will receive a full refund of all tuition fees paid for any future 5-week session/s remaining in their ELC Academic English program.
  • Circumstances when no refund is payable

    The table below sets out the circumstances when refunds are not payable by the ELC.

    H Student Visa is cancelled by the Department of Home Affairs for any reason. No refund payable.
    I Student fails their ELC Academic English program and no special circumstances apply. No refund payable.

    The Academic English Enrolment Fee for Academic English Pathway programs including GEAP pathway and PEP programs is non-refundable.

  • Special Circumstances

    Students who withdraw from an ELC Academic English Program due to special circumstances, may apply for a Special Circumstances Repayment. Please see the ELC Special Circumstances Repayment Application Form.

    Students who withdraw (due to special circumstances) after accepting their ELC Academic English Offer of Admission but before enrolment, may apply for a Special Circumstances Repayment of the Administration Fee. Please see the ELC Special Circumstances Administration Fee Repayment Application Form.
