ARC Post-Award Grant Management
This sections provides information regarding the management of ARC grants from commencement through to acquittal.
- Preparing to Start your Project
Appeals will be considered only against process issues and not against committee decisions or assessor ratings and comments. Appeals must be made on the appeals form available below. The form must be lodged through Research Services and be received within 21 days of the date on the letter notifying the outcomes of applications.
ARC Discovery Projects Collaboration Agreements
Under the requirements of the ARC funding agreement and the Australian Code for the Responsible Conduct of Research , projects involving named investigators from other institutions cannot commence until the University of Adelaide and each collaborating institution (including any international collaborating institutions*) have entered into a written agreement. The agreement must address the role of each institution on the project and any funds to be transferred.

- Progress Reporting & Variations
Progress Reports & Carry Forward of Unspent Funds
The ARC have a combined process for Progress Reporting (by exception) and requesting carry forward for unspent funds.
Note: A Carry Forward form is required for all current projects where any previously carried forward funds AND/OR the full allocation of 2018 ARC funds has not been spent, regardless of which year of the project it is. Carry forwards are not required for projects commencing in 2019.
Research Services will contact all lead Chief Investigators who hold an ARC Grant, Fellowship or Award with the internal form which needs to be completed and returned to Research Services by 31 January 2019:
Note: A separate form must be completed for each ARC grant that you hold as lead CI at the University of Adelaide.
To check which current grants you are named on and their details (e.g. start/end dates, funding amounts), login to RMS and select the link to "Current ARC Projects" under the "Person Profile" heading.
About Progress Reports
There is a mandatory question for each ARC project, which is "Were there any significant issues that affected the project during the 2018 calendar year?" If the answer is yes for your project, you will also need to select at least one reason. Research Services will enter this information on the ARC's Research Management System (RMS) for submission. If an issue has already been reported in any previous year, you should not select yes for this again.
About Carry Forward of ARC Funds
The same form has a section to complete if you are requesting carry forward of unspent ARC funds from 2018 into 2019. Carry Forwards are required when the ARC funds from a previous carry forward and/or the funds allocated for a particular year have not been entirely spent. The ARC's approval is required for the funds to be "carried forward" and spent in the next year. Chief Investigators should check their project financial details using ORBIT and/or consult with their School or Faculty Finance Officer to see if ARC funds will be/were unspent at the end of 2018. If any funds are left, a Carry Forward request will be necessary.
On the internal form, you should complete the grant details and select at least one reason for the carry forward. If more than 75% of the 2018 funding allocation is unspent or you are requesting a carry forward of more than 12 months’ worth of funding (i.e. your carry forward includes any amount already carried forward from 2017 into 2018), then you must also provide a detailed justification (up to 750 characters) why the ARC should grant your request for a carry forward.
Again, any information provided on the ARC Progress Reporting / Carry Forward Form will be entered by Research Services on RMS for submission to the ARC.
- Closing your Project
Final Reports for ARC Discovery, Linkage & Fellowship Scheme Projects (DP, DI, LP, LE, IH, IC & DE, FT, FL)
Final Reports are required for Projects for which ARC funding has been fully expended, and are typically due 12 months after the completion of the Project (older schemes may be due 6 months after completion, depending on the relevant Funding Agreement).
Note that the ARC may rule applicants for new Projects, Awards or Fellowships ineligible if they have outstanding final reports for existing projects.
- Final reports are submitted via the Final Reports module in RMS .
Notifying Research Services
RMS does not notify Research Services when Final Reports have been ‘Submitted to Research Office’. Therefore, once your Final Report has been ‘Submitted to Research Office’, you must send an email notifying Research Services that your Report is ready for checking prior to submission to the ARC.
As part of new final report requirements from the ARC we are required when submitting to "...certify that the Project has complied with the relevant schemes Funding Rules and Funding Agreements and that all information provided within the Final Report is accurate and up to date."
The Project Leader should advise that this is indeed the case when you send the email to Research Services ARC team.
Final Reports for ARC Centres & Research Networks
ARC Centres Final Reports are required within six months of the completion of the project. Final Reports are completed on the template available from the ARC website .
The Final Report for a Network is the Annual Report prepared by the Network after final payment of ARC Funds or within six months of the final carry over of ARC Funds approved by the ARC, whichever is the later.
