To enable AU system migration, all Peoplesoft HR systems will be unavailable after COB Thursday, 18 December 2025. Systems will be available again for use from Monday, 5 January 2026.

Every effort is being made to minimise disruption to HR processes throughout the transition period, however, to provide HR teams adequate time to review and action eForms and contract requests prior to system shutdown the following timelines have been put in place:

  • New Recruitment & Appointment Justification eForms and contract requests must be submitted no later than COB Friday, 21 November 2025. This includes:
    • Casual Engagement requests. *due to CAPS system limitations, academic teaching engagements linked to AU course codes, can only be issued after 4 November.
    • Fixed Term Contract renewal requests via CRAFT
    • New contract requests
    • Secondments and Higher Duties Allowance requests
    • New Recruitment & Appointment Justification eForms. AU delegations to approve eForms will be available in SSO from 5 January 2026 when leaders can then submit forms that will be routed through the new channels. **note Create a Jusification eForm will be disabled on the eForms homepage after 21 November.

In the interests of ensuring new starters to Adelaide University have a smooth and engaging onboarding experience over this period of intense change, we will not have new staff commencing in the following period (this excludes staff that have renewed contracts):

  • Candidate commencement dates should not be between Monday, 15 December 2025 and Friday, 9 January 2026, inclusive.
